Contacts and Payments
Welcome to MAESTRO Help: Contacts and Payments. This section provides information on creating contacts and processing payments in the MAESTRO Clinical Trial Management System (CTMS). Features covered include:
- Configuration and setup (e.g. contacts/payees, study or site-specific rules, assigning rules to payees)
- Generation/review of payables
- Creating payments
- Standard reports that support the payment cycle
The typical payment processing protocol follows the steps identified below:
- Sponsor negotiates payment terms with the sites. (Terms and conditions are typically outlined in the Clinical Trial Agreement.) The terms are typically based on or specify:
- an interval, test or process, usually associated with a Case Report Form (“CRF”), group of CRFs, or MAESTRO module (e.g. subject screening);
- a dollar amount paid for the completed CRF, group of CRFs or other requirement; and
- the conditions being requested/fulfilled.
- Determination of roles and responsibilities of staff involved in the payment process.
- MAESTRO is configured to reflect payment terms, rules and conditions for the clinical trial.
- Payees (contacts) are created in MAESTRO.
- Payables are generated, then reviewed and approved.
- Payments are generated from Payable records.
- The following reports are generated and forwarded to the payor: Check Request Report (and the Payment Details Report and Payment Cover Letter if payor is sending the payment to the payee.)
- Payment details (e.g. check date and number) are recorded in MAESTRO.
- Payment and applicable documentation (Payment Details Report and Payment Cover Letter) are sent to the payee.
